Title Project Administrator
Position Overview

 
Reporting to the Project Services Manager, the Jr. Project Administrator is responsible for providing administrative support to Supply Chain team, Project Coordinators and Managers, including but not limited to: generating requisitions and performing receiving in SAP, generating reports and reconciling vendor invoices.  This position requires the ability to work independently and as part of a team, exercising judgment and initiative and involves multi-tasking. This position works as a liaison between offices and field workers and must possess knowledge of policies and procedures. 
 

Key Responsibilities
  • Create requisitions and receive equipment in SAP
  • Manage and monitor planned and actual costs
  • Generate reports and reconcile vendor invoices
  • Liaise with supply chain team and be the direct point of contact
  • Receive shipment and enter packing slips into SAP as receipts or delivery confirmation
  • Ensure that all packing slips have been verified for all pertinent information
  • Maintains and organizes all related filing systems
  • Generate Vendor Corrective Measures Form when required
  • Other administrative/data entry duties as required
  • Prepare, track and process subcontract agreements and payments at the direction of the project team
  • Prepare and maintain various project related tracking sheets – QVE, shop drawings, etc.
Supervisory Responsibilities

 

Required Knowledge & Skills
  • Experience working in a similar role within the construction industry
  • Relevant experience/understanding of accounting/bookkeeping required
  • Strong communication skills, both oral and written
  • Strong computer skills- MS Excel/ Lotus, MS Word, MS Project
  • Self-motivated with strong organizational and multi-tasking skills
  • Ability to work with others as a member of a team
  • Ability to stay productive under minimal supervision
  • Ability to work flexible and/or long hours when required to meet deadlines
  • Ability to work accurately under pressure
