POSITION SUMMARY :

 

The primary purpose of this position is to manage the administrative functions in the 201 Bentley and 145 Idema facilities.

 

This position will be responsible for maintaining the administrative operational processes in the areas indirect procurment,  coordinating receipts of Capital Equipment projects, coordination of Safety SOP and GMP SOP compliance, and inventoy maintenance.

 

Provides backup support to the R&D Warehouse Supervisor in conducting the day to day activities along with supporting the inventory and cycle count processes.  Must operate in a safe and efficient GMP environment in accordance with corporate policies and departmental procedures.

KEY ROLES AND RESPONSIBILITIES:

 

·         Support the administrative functions within the 201 Bentley and 145 Idema facilities including but not limited to: Laboratory Notebook control, Uniform and Laboratory Coat Management, Safety Glasses, collection and shipment of Laboratory Standards, coordinating receipts of Capital Equipment projects, and maintaining inventory for all indirect materials within the CIC facilities.  Optimizes the process to manage all supplies within the facility by working closely with Indirect Procurement and vendors for cost savings initiatives.

 

·         Support warehouse with administrative activities and projects.  Create, analyze reports and manage the cycle count and EXOB processes for the warehouses.  Support warehouse Supervisor with pick releases (pick waves) and other daily activities such as following up with sample testing requirements.

 

·         Ensures compliance with all applicable departmental and Corporate SOPs within the Safety and GMP training matrixes by working closely with the departmental heads.  This includes coordinating and conducting any training that is required for both GMP & non-GMP SOP’s.

 

·         Submits Purchasing Requisitions as needed for all general supplies in 201 Bentley and 145 Idema.  Processes all Staples orders for 201 Bentley and 145 Idema.

 

·         Continual process improvement.  Evaluates existing processes for efficiency improvement and elimination of non-value added steps and functions for R&D Operations. 

 

·         Additional job-related tasks as directed by Supervisor and other administrative duties as required.



 

Qualifications

 

QUALIFICATIONS:

·   Education : College or University Degree

·   Experience : 5 year of experience in Operations or Administration

·   Competencies :

  • Must be able to multi-task, prioritize and possess strong time-management skills.
  • Excellent computer skills required with a proficiency in Windows, Word, Excel, Powerpoint, Outlook and SAP.
  • Required to operate within the RDS system with a special focus on the RDS Warehouse Module, Raw Material module, and Formulation module.   Experience in RDS preferred. 
  • Able to work in fast-paced environment and flexible to changing priorities.
  • Project Management skills required to manage projects.
  • Working in an ELC environment in an asset to fully understand the infrastructure and procedures for optimum efficiency.
  • Excellent verbal and written communication skills are required.
  • Strong interpersonal and customer service skills; must be able to communicate with members of the organization at all levels.
  • Must possess strong organizational skills with an emphasis on managing processes.
  • Has Experience working in a GMP environment.
  • Knowledge of indirect procurement/purchasing processes.
