The primary purpose of this role is to co-ordinate all key activities for the department; provide assistance to the VP, Comm. & Marketing Excellence and senior team management and manage GLOBE processing and budget tracking.
 
Major Responsibilities:
  • Ability to connect varied data points to uncover trends, themes and underlying business drivers.
  • Provide executive assistance support to the Vice President, Comm. and Marketing Excellence as well as support the senior management team.
  • Manage departments’ calendar providing prompt response to meeting requests, highlighting urgent issues, and handle expense reports and travel bookings.
  • Co-ordinate key activities, team meetings and onsite/offsite events (i.e. Town hall, Marketing Awards, Summits and other events).
  • Build strong contact network within Nestlé to ensure superior response to team requirements.
  • Act as the Time Administrator and keep track of all team absences.
  • Guide and direct all new team members through Nestlé systems, contacts, processes.
  • Compile and coordinate presentation materials for team and ensure timely delivery of all aspects
  • Monitor storage room inventory, printing, stationary, and courier budget to ensure wise use of resources and budget.
  • Manage the recognition tracker system for the division.
  • Manage end to end process of Department spending, with an emphasis on Nestlé guidelines, best practice, budget constraints and availability of funds.
  • Manage and track invoices for all marketing and Research activities. Manage Trade and Media Spend with invoice tracking and vendor follow ups. Create purchase order and purchase requests and coordinate activities with procurement and finance teams.
  • Act as the Safety, Health & Environment (SH&E) ambassador for the division; Attend SH&E meetings, perform floor inspections and track team safety observations.
  • Assist with other projects as required.

Qualifications:

  • Post-secondary education, preferable in Business Administration or equivalent combination of education and experience.
  • Excellent computer skills, specifically Power Point and Excel, and Outlook. SAP would be a distinct asset.
  • Must be able to effectively manage priorities in a fast paced dynamic environment.
  • Keen interest in Marketing and demonstrated learning agility in using digital and technology.
  • Positive can-do disposition, attitude, and strong initiative.\ Demonstrated ability to manage well under deadlines and multi-task effectively.
  • Excellent project management skills and the ability to follow through to completion.
  • Outstanding organizational skills.
  • Must be interested in learning and understanding the business issues in order to maximize personal effectiveness.
