Job Function

To provide on-going support to the Administrative, Customer Service, Sales, Marketing and Accounting teams as directed. Ensure satisfaction of external and internal customers.

Job Duties


  • Enter approved pricing from quotes into Adage.
  • Administrative support for the Sales Team including any correspondence to customers or prospects, as directed by the Sales Team.
  • Send information to customers or prospects, as directed by the Sales Team. This includes all literature, marketing material, samples, etc.
  • Maintain sales contact management database (ACT, SalesForce, etc.), index, forms and files. This includes the coordination of customer samples and product requests forms, maintaining and tracking projects for the Sales Team.
  • Preparation and distribution of technical data sheets, presentations, reports, booklets, etc.
  • With direction from the Product Manager/ Sales Manager or Business Director, generate customer quotations, compile price lists and special pricing forms.
  • Assist Sales Team with filling out documents/forms
  • Maintain databases / mailing lists – provide updates on advertising and sales efforts.
  • Prepare documentation for sample and tradeshow shipments (ie: Certificate of Origin, B13, Commercial Invoice, FCC forms, etc.)
  • Meet and greet customers and prospects, as required
  • Provide back-up for other team members


  • Reception duties / switchboard relief
  • Screen all incoming calls
  • Check daily messages in the General Voicemail & direct to the correct person
  • Arrange Couriers
  • Update Safety Guidelines for distribution to visitors
  • All facets of visitor hospitality (safety guidelines, sign-in, safety glasses, badges, welcome monitor, flags, reserving appropriate rooms, boardroom set up, order lunches, etc.)
  • Report any suspicious activity or visitor
  • Inventory of office supply cabinet and replenishment
  • Other duties as assigned


  • Assist organizing and co-ordination of promotional items – maintain inventories.
  • Assist with drafting and preparing marketing literature, advertisements, labels, press releases, direct mail campaigns, e-blasts, promotional blasts, newsletters and email marketing initiatives, etc. as required, ensuring consistency of marketing materials, templates and documents throughout the Company.
  • Coordinate language translations, as required for product documentation, websites, etc.
  • Assist with Tradeshow administration:
    • Pre-show: gather samples, displays, etc. ensuring all displays are complete and in good condition, pack crates, organize appropriate customs paperwork as needed, etc.
    • Post-show: unpacking tradeshow crates, samples, etc. ensuring all displays are complete and in good condition, coordinate leads, generate reports, follow-up with sales reps, etc.


  • In the absence of an accounting department at Toronto facility, assist with various accounting functions, as required.
