Wood Environment & Infrastructure Solutions has an opportunity for Administrative Assistant / Receptionist for an 18 month contract to support our engineering consulting team in Sudbury (Lively) Ontario. A great opportunity for recent graduate interested in a career in administration. Our ideal candidate has a commitment to quality and friendly customer service skills.
Responsible for answering multiple phone lines, transferring phone calls, greeting visitors, distributing mail, FedEx, UPS, etc. shipping, contacting vendors, etc.
Will interact with employees in Sudbury and other Eastern Canada offices, clients, subcontractors, vendors, etc.
Will schedule conference rooms, order food for office meetings and setup and break down for meetings
Perform word processing tasks using Microsoft Office to format reports and proposals (advanced Word, Excel, PowerPoint), and Adobe programs
General accounting: general accounting (accounts payable – enter invoices, respond to client inquiries, ensure all invoices on statements entered), enter expense reports & travel arrangements for staff
Will maintain inventory of office supplies
Will order office supplies and ensure that supplies are adequate and that equipment is in proper working order
Arrange travel, vehicle bookings, and vehicle fleet management, as needed
Other responsibilities may include copying, report collating, binding and filing, stocking printers and assist with organization and cleanliness of the office
Handle sensitive and confidential matters related to daily activities of the unit
Researches and resolves routine problems
High School Diploma or equivalent
Preferably up to 3 years’ general office or receptionist experience working in a fast-paced, multitasking environment
Organized self-starter, detail oriented, proactive individual who takes ownership of a project
Friendly customer service skills and professional demeanor with co-workers, visitors, clients and vendors
Excellent verbal, written and interpersonal communications skills
Demonstrated ability to work in team situations with multiple priorities
Ability to handle confidential and sensitive information in an appropriate manner
Proficiency in Microsoft Word, Outlook and Excel required; Proficiency in PowerPoint is preferred but not required
Ability to operate basic office equipment
Able to lift 30 lbs. without painful stress or injury
Able to sit for long periods of time without painful stress or injury
Previous experience working at an engineering, construction or architectural firm a plus
Must be able to work 8-5 Monday – Friday and be punctual and dependable
